Therapy Cancellations
If it is necessary to cancel an appointment, please email your provider directly to cancel and/or reschedule the appointment at least 24 hours before your scheduled appointment time. You will be charged the regular fee for the session if you have not notified your provider of your cancellation 24 hours before the time of the appointment.

Evaluation Cancellations
Due to the limited appointments available for evaluations, we ask for at least 1-week advanced notice for any cancellations or reschedule requests for evaluation appointments. In the case of illness or other last minute needs for rescheduling, please email your provider directly as soon as possible to assist with rescheduling. You will be charged a fee for any missed appointments if you have not notified your provider of the cancellation with at least 24 hours notice.

Partial Appointments
In the case that a client arrives late to an appointment or leaves an appointment early, we will bill for the full scheduled appointment unless an adjustment to the appointment time was agreed upon before the appointment.

Please contact your insurance company prior to your first appointment and request further information regarding your out-of-network benefits.

Some helpful questions to ask your insurance company include:

  • I am seeking mental health treatment services at Brooks Powers Group. Does my plan have any out-of-network coverage for mental health services?
  • Is there an out-of-network deductible, and if so, what is it?
  • The billing CPT codes will be ___________. What is the maximum allowable for each of these codes? What percentage of this allowable will my plan pay for each of these codes?
  • How many mental health sessions does my plan cover per year?
  • What information/forms do I need to submit in order to receive out-of-network reimbursement?
  • How and where do I submit reimbursement claims (online, mail)?
  • Are there any time limitations regarding filing my claims?

Clients at Brooks Powers Group are responsible for submitting their own statements/paperwork to insurance for out-of-network reimbursement. Brooks Powers Group will not bill insurance companies on behalf of clients for out-of-network claims.
